These Export Terms & Conditions govern all international sales and export transactions by Maha Spices Indonesia. These terms supplement our general Terms of Service.
1. Product Quality Assurance
Quality Standards
All exported products are guaranteed to meet:
- International food safety standards (HACCP, ISO 22000)
- Destination country import requirements
- Agreed specifications in the sales contract
- Halal certification requirements (where applicable)
- Organic certification standards (for certified organic products)
Quality Control Process
- Pre-shipment inspection by certified third parties
- Laboratory testing for moisture content, aflatoxins, and other contaminants
- Certificate of Analysis provided with each shipment
- Batch tracking and traceability documentation
2. Minimum Order Requirements

3. Payment Terms
Accepted Payment Methods
- Telegraphic Transfer (T/T):
- 30% advance payment upon order confirmation
- 70% balance payment before shipment
- 100% advance payment for orders under USD 5,000
- Letter of Credit (L/C):
- Irrevocable L/C at sight from an internationally recognized bank
- L/C must be confirmed by our bank for orders over USD 50,000
- All L/C charges outside Indonesia are for buyer's account
- Documentary Collection (D/P):
- Available for established customers with good payment history
- Subject to credit approval and maximum exposure limits
Currency and Banking
- All prices quoted in USD unless otherwise specified
- Bank charges in Indonesia are for seller's account
- Bank charges outside Indonesia are for buyer's account
- Exchange rate fluctuations after quotation may affect final pricing
4. Delivery Terms (Incoterms 2020)
Standard Terms
- FOB Indonesian Port: Most common for container shipments
- CIF Destination Port: Available upon request with freight included
- CFR Destination Port: Cost and freight to destination
- EXW Factory: For local pickup or buyer's nominated forwarder
Shipping Arrangements
FOB Terms - Buyer Responsibilities:
- Marine insurance arrangement
- Freight forwarding from Indonesian port
- Import customs clearance
- Destination port handling charges
CIF Terms - Seller Responsibilities:
- Marine insurance (110% of CIF value)
- Ocean freight to destination port
- Export documentation
5. Lead Time and Delivery
Standard Lead Times
- Stock Items: 7-14 days from payment confirmation
- Made-to-Order: 21-30 days from payment confirmation
- Special Processing: 30-45 days from payment confirmation
- Organic Certified: Additional 7-14 days for certification process
Factors Affecting Delivery
- Harvest season and raw material availability
- Special processing or packaging requirements
- Certification and documentation requirements
- Shipping schedule and vessel availability
- Weather conditions and force majeure events
6. Export Documentation
Standard Documentation Provided
- Commercial Invoice: Detailed product description and values
- Packing List: Container loading and product packaging details
- Certificate of Origin: Indonesian Chamber of Commerce certified
- Phytosanitary Certificate: Indonesian government issued
- Health Certificate: For food safety compliance
- Bill of Lading/AWB: Shipping and title documents
- Certificate of Analysis: Laboratory test results
Additional Certificates (Upon Request)
- Halal Certificate from MUI (Indonesian Ulema Council)
- Organic Certificate from accredited bodies
- Non-GMO Declaration
- Fumigation Certificate
- Container Inspection Certificate
- Weight Certificate from independent surveyor
7. Packaging and Container Specifications
Standard Packaging Options
- Vacuum Sealed Bags:
- 25kg PE bags with valve for spices
- 50kg PE bags for bulk orders
- Food grade, moisture barrier properties
- Woven PP Bags:
- 25kg and 50kg options
- Inner polyethylene liner for moisture protection
- Suitable for whole spices
- Food Grade Cartons:
- 10kg and 20kg boxes for premium packaging
- Corrugated cardboard with protective inner lining
- Ideal for retail-ready products
Custom Packaging
Available upon request with minimum order quantities. Custom packaging options include:
- Private labeling and branding
- Special packaging materials and sizes
- Retail packaging and consumer sizes
- Nitrogen flushing for extended shelf life
8. Claims and Disputes
Quality Claims
- Must be reported within 30 days of arrival
- Supported by independent surveyor's report
- Laboratory analysis by mutually agreed third party
- Photographic evidence required for packaging claims
Dispute Resolution
- Amicable settlement preferred through direct negotiation
- Mediation through Indonesian Chamber of Commerce
- Arbitration under Indonesian law if required
- Jurisdiction: Indonesian courts for legal proceedings
9. Force Majeure
Neither party shall be liable for any failure to perform obligations due to circumstances beyond reasonable control, including:
- Natural disasters, earthquakes, floods
- Government regulations and policy changes
- Labor strikes and industrial actions
- War, terrorism, or civil unrest
- Pandemic or health emergencies
- Raw material shortages beyond our control
10. Compliance and Regulations
Export Compliance
- All exports comply with Indonesian export regulations
- Destination country import requirements responsibility of buyer
- Anti-bribery and corruption policy strictly enforced
- Sanctions and restricted party screening conducted
Food Safety Compliance
- HACCP principles implemented throughout supply chain
- Regular third-party food safety audits
- Traceability systems for product recall capability
- Allergen management and labeling compliance
